  • Complete Accounts Payable and Accounts Receivable tasks as requested.
  • Process Daily Business Reports (DBRs) from each location including completion of credit card transactions and Sales Journal bookkeeping functions.
  • Prepare bank deposits for all Cash Sales.
  • Prepare and mail customer invoices on a timely basis.
  • Ensure the filing of Rental Agreements, A/P Vendor Invoices, Vehicle Unit folder, and A/R Credit and Collection files are up-to-date. Aid in the preparation of internal and external corporate correspondence. Ensure the security and safekeeping of all company records, including adherence to appropriate document disposal requirements.
  • Gain knowledge of necessary Rental Procedures to handle the position of Rental Sales Agent (RSA) when requested.

Knowledge, Skills and Abilities:

  • Advanced/Basic knowledge of QuickBooks and general accounting procedures.
  • Strong organizational and time management skills.

Duties and Responsibilities:

  • Meet established budget goals of the Accounting Department.
  • Assist with performing all general accounting functions including internal and external requirements.
  • Supervise and train employees who report to the Accounting Supervisor.
  • Oversees the proper generation of invoices and monthly accounting statements to customers.
  • Perform initial credit reports on prospective credit customers and maintain current credit reports on existing customers.
  • Follows A/R Collection Procedures in the collection of any past due accounts.
  • Review A/R Journal to ensure entries are correct and accurate
  • Establish A/P Vendors and enter A/P invoices into A/P Journal
  • Prepare check run reports on A/P invoice and print A/P checks

Location Manager

 

 

The Location Manager is responsible to accomplish all daily operations, obtaining budget, developing and maintaining a high level of customer service and customer relations at all times, and the safety and security of their assigned location, vehicles, and all company assets through their staff and the corporate resources available. The success and failure of a branch is measured by the effort and effectiveness of its Location Manager. The Location Manager receives directives, goals, and supervision by the Director of Operations and cannot be promoted or terminated without his/her approval, but works cooperatively with all departments of PV Rentals.

Duties and Responsibilities

  • Oversee and Direct all operational activities of the location, including but not limited to:
    • Detailing, Rental, Delivery/Pickup, Repair/Maintenance of Rental Vehicles
    • Monitoring and Performing Transactions
    • Audit all Rental Agreements and Transactions through Daily Business Report
    • Daily Cash Reconciliation
    • Scheduling Reservations/Transactions by utilizing TSD Unit Calendar in an efficient manor
    • Obtain Overdue or Missing Vehicles
    • Collect Short Paid or Open Balance Transactions
    • Execute all operations of the location if necessary
  • Set Goals to Staff and hold them accountable:
    • Utilization of Rental Vehicles
    • Rental Revenue and Ancillary Sales Revenue
    • Cold Calls and Sales Effort
  • Directly Influence and Obtain Revenue Goals through Sales and Marketing of Location:
    • Cold Calling, Door to Door, Community Involvement, Email Blasts, Promotions, Sales Blitz

Rental Sales Agent

The Rental Sales Agent (RSA) position will be responsible for renting vehicles to qualified customers, inspecting returned vehicles and preparing rental contracts. The RSA will also be responsible for The RSA must be experienced in Desired candidate will have

Duties and Responsibilities

  • Rent vehicles to clients in compliance with the company’s written policies and procedures.
  • Answer the telephone and greet customers promptly and courteously.
  • Take reservations and prepare rental agreements using the computerized rental system.
  • Qualify customers by assuring a valid driver’s license and credit card.
  • Inspect returned vehicles for obvious problems or signs of accidents.
  • Prepare accident reports when required and collect accident reports from customers for filing.
  • Coordinate customer vehicle requirements and requests with the Make-Ready Department.
  • Perform duties as assigned by the Rental Supervisor and/or Location Manager.
  • Keep the physical and electronic filing of reports, contracts and other documentation current and organized.
  • Maintain a log of vehicles rented to “walk-in” customers to aid in the planning and coordination with the Make-Ready Department.
  • Follow up on overdue vehicles in a prompt manner.
  • Bill commercial customers when directed by the Rental Supervisor.
  • Reconcile the cash drawer on a daily basis.

Knowledge, Skills and Abilities

  • A working and in-depth knowledge of the many different facets of the rental process.
  • Ability to communicate clearly, effectively, and friendly on the telephone and in person.
  • Ability to treat customers with respect, tact, and diplomacy at all times, but especially when the customer has a dispute, legitimate or otherwise.

  • The patience and fortitude that is required to learn about and work with, a computerized rental system.

Rental Supervisor

Location: Downtown Houston

 

The Rental Supervisor is responsible for directly supervising the rental operation of a location to ensure the highest quality of customer service is being provided and proper procedures are followed by all staff. The Rental Supervisor will also be responsible for all daily tasks being completed and minimizing risk of the location’s assests and employees. The Rental Supervisor receives his/her directives, goals, and performance reviews from the Location Manager and cannot be promoted or terminated without his/her approval, but works cooperatively with all departments of PV Rentals.

Duties and Responsibilities

  • Supervise and hold accountable the Rental Agents & Service Agents in their duties:
    • Positive customer service through phone calls or face to face interactions
    • Upsell of Optional Services
    • Preparing Rental Agreements (RAs) and necessary forms for Renter
    • Vehicle check-in/check-out
    • Cleanliness and Appearance of Rental Vehicles
    • Accident reports and claims
    • Promotion of the next rental
  • Control data flow of all rental vehicles in the computerized rental system (TSD)
    • Maintain Unit Calendar and schedule according to availability
    • Pre-Pull Key Packs for Reserved Vehicles according to Unit Calendar
  • Provide premium customer service and high quality vehicles to every renter
    • Ensure proper phone etiquette and greetings are used
    • Explore all options and possibilities to satisfy a customer request for a vehicle
  • Minimize Risk of Potential Loss and Safety
    • Complete Weekly Inventory of Assets
    • Follow-up on overdue vehicles and/or reporting of missing vehicles
    • Follow company protocol to keep discounts and price erosion to a minimum
    • Daily Reconciliation of Cash Drawer
    • Communicate Safety concerns immediately to supervisor
    • Report any emergencies to HR and notify Supervisor afterwards
  • Ensure adherence to the established company Policies and Procedures

Compensation
